What entrepreneur has never dreamed of freeing themselves from repetitive tasks so they can finally focus on what matters most—growing their business and serving their customers?
Let’s be honest: EVERYONE!
The good news? This dream is now an accessible reality thanks to AI and the latest technological innovations.
Let me tell you the story of Marie Dubois*, director of a respite care organization for children with special needs, whom I had the pleasure of working with in my role as a pre-sales engineer at Zoho Canada.
Marie manages two shelters that take in 60 children on a rotating basis. Her daily routine? Administrative chaos: handwritten reports to parents, progress notes scattered between binders and Excel spreadsheets, and a whiteboard used to assign educators to their duties.
“We spent more time on paperwork than with the children,” she told me.
The turning point came with a trivial but revealing incident: crucial medical information that could not be found at a critical moment. Miraculously, there were no consequences. But Marie realized the obvious: their makeshift system was no longer tenable.
What is intelligent automation?
Before we look at how Marie transformed her organization, let’s clarify what intelligent automation really is. It’s not just about “putting information into a computer.” It’s about creating an ecosystem where:
- Processes are automated according to your rules: Automations that understand your business logic and apply it consistently.
- AI continuously analyzes and optimizes: The system learns from every interaction to constantly improve itself.
- Information flows smoothly: No more silos, everything is connected, accessible, and up to date.
- Security remains paramount: Your data remains protected and accessible only to those who are authorized to view it.
To implement Marie’s intelligent automation, here is how we proceeded:
We first centralized all information in Zoho CRM with customized modules:
- “Residents” module with all children’s profiles
- “Stays” module to track each visit
- Module “Notes évolutives” avec système de priorités
Then came the real revolution: the automation of time-consuming tasks and processes.
- Weekly reports to parents, which used to take two hours per educator, are now generated automatically. The system compiles notes from the week, personalizes the content for each child, and sends everything out every Friday.
- The educator-child assignment? The system analyzes each person’s skills and specific needs, and makes the assignment automatically without Marie’s intervention.
- Each educator has access only to the files of their assigned children and can view all relevant information and the history of follow-ups and interactions in one place.
- Medical alerts are automatic. Follow-up reminders are triggered automatically.
- Integration with their Sage 50 accounting system eliminated double entry and enabled more efficient tracking of cash receipts.
Result: 10 hours saved per week per educator, 100% of reports submitted on time, zero loss of critical information.
“The atmosphere has completely changed,” Marie told us. “Educators can finally focus on their real mission.”
And that’s just the beginning. With the arrival of Zoho’s new AI agents, imagine: a conversational assistant that responds to parents 24/7, an agent that helps educators through simple conversation (“Show me Sophie’s profile”), an intelligent coordinator that manages substitutions in real time…
From their success to your transformation
Marie’s story is not unique. Every week, I help Quebec SMEs transition from chaos to efficiency. What’s the difference between those that succeed and those that don’t? They take the first step, and you can too by following these three points:
- Start by identifying your “relationship with parents.”
This repetitive process eats up your teams’ time. For some, it’s lead qualification. For others, it’s quote follow-ups or customer support. Start by identifying this process, then write down your ideal process that would take the burden off your shoulders and those of your team. - Ensure that the right information is recorded and available on time
The success of a technology project depends on two factors: technological efficiency and end-user involvement. Involving your teams early on in the implementation process is crucial to providing the system with the quality of information needed for relevant results and long-term monitoring. - Go for it!
The simplicity and native integration of AI tools such as those from Zoho, combined with the available support team, make it possible and easy for all entrepreneurs, with or without technical background, to have intelligent automation tailored to their needs, just like Marie.
As Marie has proven, transformation is accessible to everyone. With the right tools and approach, you can revolutionize your customer follow-up. It’s not a question of company size, but of vision and method.
